Comparing software: seven questions before subscribing
Two tools with similar descriptions may fit your daily work very differently. Compare them using the same task and requirements. These seven questions help you make a reasoned decision before subscribing.
1. What result do you need?
Define a specific result, such as a vertical explainer video with your own voice and subtitles. “I need an AI tool” is too vague. Separate essential features from nice-to-haves.
2. Does the tool pass your practical test?
Use the same input or material for every candidate. Check a complete export, not just the first preview. Record what needed reworking and how long it took.
3. What does your actual usage cost?
Calculate your expected volume and check credits, export limits, extra users and possible additional charges. A cheap base plan is of little use if your normal usage regularly exceeds it.
A €20 subscription producing ten usable results costs €2 per result. A €30 subscription producing twenty usable results costs €1.50 each. These are fictional figures, not provider prices; working time and other costs may need to be added.
4. Does it suit your language and workflow?
Test with your own texts, terminology and file formats in the language you use. A polished demo in another language does not answer this question. Also check how easily you can import existing content and continue editing the results.
5. What usage rights and data terms apply?
Read the provider’s current terms for your intended use and uploaded data. Use non-sensitive sample material for your first comparison. Resolve open questions before uploading real client content.
6. How can you leave?
Check cancellation notice, contract duration, data export and access to existing content after your subscription ends. Save a sample project and test whether its exported files work outside the tool.
7. Which choice can you justify?
Use a small evaluation table. You decide which criteria matter to you:
| Criterion | Question |
|---|---|
| Result | Does the export meet my essential requirements? |
| Effort | How much rework does a finished result require? |
| Cost | What does my expected monthly usage cost? |
| Flexibility | Can I cancel and export my data? |
Reject a candidate that fails an essential requirement. Compare the remaining tools on quality, effort and cost. This produces a reasoned choice rather than one based on the longest feature list.
